This notice explains how your information is handled when you use the AI chat that [Practice name] offers through AskAboutTax. Please also read the client terms of use.

Who Is Responsible for Your Information

[Practice name] is the business responsible for your information in this chat. AskAboutTax, a service of KiwiBooks Inc., is its service provider: it runs the chat and stores your information on [Practice name]'s behalf and under its instructions, and does not use it for any other purpose.

What the Chat Is and Is Not

You are chatting with an AI assistant, not with [Practice name] or anyone who works there. The chat gives general tax, business, and practice support information only. It is not tax advice, and it does not know your full situation. Don't act on anything in the chat before you talk with [Practice name] or another qualified tax professional.

What Not to Share

Don't share personal tax information, such as your Social Security number, ITIN, income, account numbers, passwords, or details from your tax return. The chat blocks Social Security numbers, ITINs, and account numbers before a message is sent.

Information Collected

  • Files you choose to share with your practice, their filenames, sizes, types, upload dates and security-check metadata
  • Your email address, which must be on [Practice name]'s client list, and a one-time sign-in code that expires
  • An optional phone number the practice stores for reference; it is not used for AI text messaging
  • That you acknowledged the disclaimers, and when
  • The questions you type, the AI's answers, and a summary of the session
  • Any note you leave, the next steps you choose (such as booking a meeting or sending an email), and your rating of the chat
  • Technical information, such as your IP address and browser, used for security and to limit repeated sign-in attempts
  • A cookie that keeps you signed in; if [Practice name] allows it, your device can stay signed in for 30 days

How Your Information Is Used

  • To sign you in and keep your chat secure
  • To answer your questions within [Practice name]'s rules and sources
  • To give [Practice name] a summary and the full transcript of your session, so they can follow up with you
  • To notify [Practice name] by email according to its delivery preference: after each chat, once a week, or never. These emails contain no chat content
  • To keep a record of each answer, the AI model that gave it, and the sources used

Your information is not sold, and your conversations are not used to train AI models.

Private File Sharing

Files are stored in your private client folder for [Practice name], accessible to you and authorized practice members. Images and documents must be no larger than 50 MB per file. Files stay quarantined until format validation and trusted security checks finish; a request or selection is not a ready file.

Files, filenames and file metadata are not automatically sent to AI models, read with OCR, or added to assistant knowledge. Sharing a file is separate from entering information into the AI chat.

You and your practice can download and delete shared files. Files consume shared practice storage; new uploads pause when it is full, while existing downloads and deletion remain available.

AI Subprocessors and Service Providers

  • AI: your questions and the context needed to answer them are sent to AI models from Anthropic and OpenAI, which run on Amazon Bedrock, a service of Amazon Web Services (AWS). They are processed in AWS regions in the United States and are not used to train the models.
  • Hosting, private file storage and malware scanning: Amazon Web Services (AWS), in the United States.
  • Email: Resend delivers your sign-in codes.

Retention and Deletion

Your shared files, transcripts, summaries, and [Practice name]'s notes about you are deleted automatically 3 years after your most recent chat or successful file sharing, unless [Practice name] sets a shorter period, or a longer one for a reason such as a professional retention rule. [Practice name] can also delete your sessions at any time.

Your Choices

You can ask [Practice name] to see, correct, or delete your information. [Practice name] decides how to respond, and AskAboutTax helps them do it. If you contact AskAboutTax at privacy@kiwibooks.ai instead, we will pass your request to [Practice name].
